Position title: Administrative Assistant to the Middle School Division Head
FSLA Classification: Non-exempt
Department: Middle School
Reports to: Middle School Division Head
Position Overview:
Assist the Middle School Division Head in maintaining the daily functions of the academic day and school year through administrative and operational support. Serve as the primary front office point of contact for students, faculty, and parents. Provide support by planning, organizing, and participating in the school office's administrative operations, including the annual processing of orders for textbooks and instructional aids to support the faculty's academic curriculum.
Key Responsibilities:
Responsible for correspondence, forms, emails, schedules, and reports supporting the Middle School Division Head, as well as assisting with organizing all middle school activities with the Division Head. Assembles information and prepares documents and slideshows for weekly meetings and other middle school communications. Maintains annual budgets for all middle school expenses in support of the Division Head. Provide support to the Division Head in supervising study hall students, ensuring that they receive appropriate accommodations, and maintaining an orderly flow of students at the front office. Contribute to the design and development of the annual student/parent handbook, revising the handbook annually. Updating content and submissions, new policies or changes that need to be incorporated. Provide support in the planning and preparation for the 5th and 8th-grade Promotions. Collaborate with all faculty members (middle and upper school) to process textbook and instructional aid orders in support of their curricula. Work directly with vendors and sales representatives to receive bids and quotes for textbooks, instructional aids, and general supplies. Process annual orders and maintain textbook/instructional aids budget. Provide student supervision on the middle school campus, including student drop-off duty, lunch duty, and other supervision, as needed. First Aid: Provide basic first aid assistance, including administering medications and managing injuries and communicating with parents. Health Office Management/Compliance: Ensure compliance with student records regarding the dispensing of prescription and over-the-counter medications.
Qualifications:
1-3 years of administrative assistant experience Proficient in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, Sites), Microsoft Office Suite, Adobe Acrobat, Canva, Power School Excellent written and verbal communication skills Experience in handling sensitive and confidential information with discretion and sound judgment Ability to work independently on assignments with minimal direction Strong time-management skills
