REPORTS – TO THE KPA BOARD The Kenya Paediatric Association (KPA) is a nonprofit, non-partisan body of paediatric practitioners committed to professional excellence and timely, quality service delivery to the children they serve. In line with our mission, we invite applications from suitably qualified and competent individuals to fill the position of Executive officer/Programs Manager. Job Purpose The executive officer will be expected to provide strategic, operational and administrative leadership for KPA Secretariat, with a strong focus on project management, programme delivery and organizational performance. The role is responsible for translating KPA’s strategy into high impact initiatives, strengthening partnerships, member engagement and ensuring efficient secretariat operations. Duties and Responsibilities  Review and execution of the association’s strategic plan; translate strategic objectives into operational work plans with clear timelines and outputs, monitor implementation progress and report on KPIs. Provide policy and strategic advisory support to the board.Manage KPA’s day-to-day administrative operations and staff supervision in compliance with professional, legal, governance and risk standards. Manage member recruitment, retention and maintain an updated membership database, enhance member engagement to ensure delivery of value for members. Serve as secretary to the board sub-committees as assigned, coordinate board meetings; ensure proper documentation, record keeping and compliance with policy, regulatory and constitutional requirements. Facilitate effective communication between the board, members and stakeholders. Oversee communication, including publications and digital platforms (newsletters, website, social media, etc.) to promote KPA activities, achievements and policy positions. Program implementation and monitoring, including planning, execution and evaluation of KPA programs, ensuring delivery of projects within scope, budget and quality standards. Track outcomes/outputs and impact of KPA’s initiatives Participate in and provide logistical support to key project convenings, both virtually and in-person, to define project deliverables, timelines and implementation approach. Fundraising for the association’s planned activities by developing SMART fundraising strategies, develop and update funders/ partners’ database, prepare budgets for scheduled activities and utilization of funds received. Ensure that resources are aligned to enable delivery of KPA’s goals, including the development of procurement plans. Work with the office of the treasurer to develop the association’s budget in line with KPA strategic objectives, ensure prudent financial management and accountability in line with regulatory requirements. Provide regular donor reports; that is, Prepare, edit, and modify documents, including summaries, reports, analyses, and presentations for donors and other partners. Representing the Association at key stakeholder meetings. Build strategic partnerships and coordinate advocacy efforts on key child health issues at national and regional levels in line with KPA’s strategic plan. Guide the creation and dissemination of high- quality advocacy materials and crafting grant proposals. Develop and oversee consulting agreements related to the programs, including scopes of work and budgets, in partnership with the KPA board. Perform any other duties as may be assigned by the KPA board. Qualifications  Bachelor’s degree in Project Management, Business management/administration, Public Health, Health management, Medicine or related field Master’s degree in Business Administration, Public Health, Project Management, or equivalent are an added advantage. Program Management Professional(PMP) Certification Minimum three (3) years of project management and/or planning experience in the non- profit sector Key competencies /Skills  Professional experience in program development, implementation, monitoring, and evaluation Experience in planning, developing, and administering health programs/projects Experience in managing multiple projects, timeline development and tracking deadlines Ability to provide strategic leadership Strong organizational skills Excellent oral and written communication skills. Demonstrated ability for influencing/negotiating, customer service, team building, conflict management, partnering, risk management and consensus building Experience in using Microsoft Office.
